Job Description

  • Position Identification

  • Purpose of Position
  1. To support attorney in all areas of a busy legal practice including, but not limited to: immigration case work, administrative and legal assistant work (see below for further detailed information).

 

  • Responsibilities
  1. Assist attorney in preparation of immigrant and nonimmigrant visa petitions;
  2. Draft, review, and prepare legal documents for visa types such as E-1, E-2, E-3, H-1B, L-1, O-1, TN, EB-1, EB-2, EB-3, I-140, PERM Labor Certification (ETA-9089), AOS (Adjustment of Status), N-400 Naturalization filings, and family-based Adjustment of Status filings;
  3. Manage a caseload of visa matters utilizing case management software;
  4. Communicate regularly with clients regarding procedural and case processing issues;
  5. Analyze case documents and prepare immigration applications for filing and RFE Responses;
  6. Draft petitions, applications, and specialized support letters detailing eligibility for visa classification;
  7. Learn procedural and processing requirements for various types of visa petitions;
  8. Conduct legal research on immigration regulations and procedures;
  9. Review and approve client billing under supervision of partner or attorney;
  10. Work closely in team environment, while building knowledge of firm and client processes; and
  11. Contribute to the efficient and effective operation of the firm’s workflow.

 

  • Requirements
  1. Bachelors degree (or equivalent);
  2. Minimum 3 years of experience in a professional immigration environment;
  3. Demonstrated client service focus; and
  4. Excellent oral, writing, research, organizational, and proofreading skills.

JOB SUMMARY

Provide corporate and compliance paralegal services to the Legal Department, working closely with the General Counsel and other attorneys in the Legal Department, to support regulatory compliance, corporate document & contract management, corporate governance, legislative support, and legal research needs.  An essential component of role is managing Legal Department organization and processes. 

KEY RESPONSIBILITIES

Regulatory Compliance:

  • Monitor compliance for Copic-related legal entities, including registrations and annual reporting.
  • Maintain a centralized compliance recordkeeping system.
  • Coordinate with internal departments to ensure timely submissions.
  • Monitor state departments of insurance for regulatory updates impacting the business.
  • Coordinate HIPAA and other related privacy-related compliance tasks.

 Document and Contract Management:

  • Assist with implementation and operation of CLM software; manage the full contract lifecycle and coordinate contracts across departments.
  • Assist with creation and maintenance of key corporate legal documents, including contracts, insurance policy forms, and other documents.
  • Utilize Westlaw CoCounsel and other software to assist attorneys with contract and other document drafting.

Corporate Governance:

  • Draft corporate governance documents, resolutions, and meeting minutes.
  • Support the General Counsel with Board and Governance Committee documentation.
  • Manage corporate records and filings, ensuring compliance with formalities and regulations.

Legislative Support:

  • During the annual legislative sessions, collaborate with Public Affairs Department on legislative reviews and title board submissions across multiple states.

Department Operations and Oversight:

  • Heavy use of Westlaw Precision and Westlaw Co-Counsel to perform essential functions of paralegal role and to assist departmental attorneys with regulatory and statutory research.
  • Use of current AI platforms (primarily Westlaw and Copilot) and emphasis on increased integration of AI into all departmental functions.
  • Organize and update department records and files.
  • Intake interdepartmental and outside requests to Legal Department and track associated attorney workflow.
  • Coordinate department meetings and ~100 annual educational presentations by departmental attorneys.

REQUIRED QUALIFICATIONS & SKILLS

  • Undergraduate degree and:
    • 5+ years of corporate paralegal experience.
    • 3+ years of regulatory compliance experience.
  • This position requires the ability and desire to handle a high level of independence and responsibility.
  • Ability to produce high quality, professional work product while meeting established timeframes/deadlines.
  • Must be of a mindset to adopt and heavily use AI software, particularly Westlaw AI products.
  • Excellent computer skills including high degree of proficiency in Word, Excel, PowerPoint, SharePoint, Teams, Copilot, and Westlaw.
  • Ability to learn company-specific software platforms, such as Salesforce, Oasis, and ImageRight.
  • Accuracy, good judgment, organizational skills, and attention to detail are essential.
  • Ability to effectively seek, obtain, and follow direction from departmental attorneys.
  • This position involves frequent, independent interaction with every other department and department leader in the Company. The position therefore requires the ability to work effectively and amicably with others.
  • The position requires the highest level of confidentiality regarding Copic legal and business matters.
  • Deductive reasoning and critical/analytical thinking skills are essential to every function of this position.

DESIRED QUALIFICATIONS & SKILLS

  • Health law and/or insurance law experience highly preferred
  • Experience with CLM software or other contract management experience highly preferred.

Position Overview

  • Case Management: Organize and manage case files, track and calendar deadlines, and ensure all case documentation is up to date and readily accessible. File pleadings in state and federal courts. Be, or become, knowledgeable about applicable rules in the various courts and ensure pleadings are filed in conformity with the rules and practice standards for each judge.

  • Discovery: Draft initial disclosures, discovery requests, and discovery responses for lawyer review. Review and organize documents received in discovery.
  • Case Investigations: Conduct thorough investigations into civil rights violations, which may include accessing and capturing social media, gathering evidence through records requests, interviewing witnesses, and documenting findings to assist in developing and pursuing case strategy.
  • Legal Proceeding Preparation: Assist attorneys in preparing for trials, depositions, and hearings, including organizing trial exhibits, coordinating witnesses, and providing courtroom support.

Preferred Qualifications

We are seeking someone who has experience as a paralegal, preferably in a plaintiff-side civil rights or employment practice, or someone who is highly motivated to learn how to be a successful paralegal in this high-paced practice. A paralegal certification is not required. However, we are seeking someone with the following qualifications:

  • Highly organized, detail-oriented, proactive, and able to manage multiple tasks and shifting priorities
  • Excellent written and verbal communication skills
  • Ability to work collaboratively within a team as well as independently
  • Proficiency in Microsoft Office Suite, Adobe Acrobat, and Legal Practice Management Software (preferably FileVine)

Job Description:

Provide paralegal services and intake coordination for Bridge to Justice’s (B2J) Eviction Legal Defense Program. Work in conjunction with Senior Intake Paralegal to assist with the
management and monitoring of legal assistance and support services for eligible tenants facing eviction in the City and County of Boulder. Help coordinate no-cost B2J attorney consultations,
community referrals and resources, and collaborative efforts with city and county agencies.

Duties and Responsibilities:

In-court:

  • Attend weekly Forcible Entry and Detainer (FED) docket/Eviction Return hearings on Fridays at the Boulder Justice Center to assist tenants with the court process and coordinate no-cost attorney consultations for court proceedings.
  • Facilitate logistics during eviction return court proceedings: coordinate interpretation, attend to requests from the judge, B2J attorneys, collaborating agencies, mediators, and all tenants who appear in person or through WebEx.
  • Determine eligibility for tenant inquiries and requests for legal assistance. Complete intake procedure with eligible tenants. Assure intake forms are completed fully and accurately.
  • Place eligible tenants with Bridge to Justice attorneys for no-cost consultations promptly during the eviction returns docket.
  • Track all paperwork, client forms, surveys, case outcomes, and other necessary data.

Out-of-court:

  • Monitor the B2J eviction email inbox for new and ongoing requests for legal assistance from tenants and community members; manage communication with past and current clients, community members, contract attorneys and other B2J staff.
  • Follow up with new caller/tenant inquiries and requests to determine eligibility for services, assist with the intake process, and connect eligible tenants with an available B2J attorney.
  • Review and track weekly docket information, status of cases, updates, changes, etc.
  • Assist B2J contract attorneys with client communications and documentation, prior to, during and after court proceedings.
  • Provide outreach and ongoing follow-up and support for current and past clients on any case-related needs.
  • Collaborate with other community organizations to provide additional resources, rental assistance referrals, and tenant support.
  • Assist with the outflow of Disengagement Letters to tenants following in-court and non-court consultations.
  • Assist with the disbursement of Declination Letters to clients whom B2J can no longer serve.
  • Assist with record keeping for all clients served – in court and outside of court – case details, outcomes, client documents, etc.
  • Assist with administrative duties: updating program forms, Outcome Sheet tracking, replenishment of forms at the court, client follow up for grant tracking purposes, client surveys, etc.
  • Assure all client intake forms are submitted to Grant Manager and Supervising Attorney.
  • Maintain personal timesheet and submit monthly invoices to Grant Manager.
  • Participate in any scheduled staff meetings or training arranged by the Supervising Attorney.
  • Any additional duties as assigned by the program’s Supervising Attorney or the Executive Director.
